Frequently Asked Questions

What is Microsoft 365 for Business, and how does it differ from Office?

Microsoft 365 for Business is a subscription-based productivity platform that combines the familiar Office applications (Word, Excel, PowerPoint, Outlook, and OneNote) with cloud services such as Exchange Online email, Microsoft Teams, SharePoint, and OneDrive. Unlike the older one-off Office licences, Microsoft 365 is continually updated, includes cloud storage and collaboration tools as standard, and layers in security and device management features at the higher tiers. At help4IT, we view it as a complete business platform rather than just a set of applications, and we help our clients get value from every part of it.

Which Microsoft 365 plan is right for my business?

Microsoft offers three main Business plans, each capped at 300 users: Business Basic, Business Standard, and Business Premium. Basic is the most affordable option and provides web and mobile versions of the Office apps, Exchange email, Teams, and OneDrive. Standard adds the full desktop versions of Word, Excel, PowerPoint, and Outlook. Premium includes everything in Standard plus Microsoft Defender for Business, Microsoft Intune for device management, and advanced identity protection. Larger organisations, or those with more complex compliance needs, usually move to the Enterprise E3 or E5 plans.

How does a migration to Microsoft 365 actually work?

A well-planned migration is a structured project rather than a single event. We begin with a discovery phase, during which we audit your existing email system, files, identities, and devices. We then agree on a migration approach (cutover, staged, or hybrid), prepare your domain and DNS records, pilot the move with a small group of users, and finally migrate the wider business in scheduled batches. Throughout the process, we protect email continuity, preserve permissions, and configure security controls such as multi-factor authentication, Safe Links, and Conditional Access. At help4IT, we have delivered Microsoft 365 migrations for UK SMEs, charities, law firms, and financial services firms for over two decades, and we treat every migration as a business change project, not just a technical task.

Is my data safe in Microsoft 365, and does Microsoft back it up for me?

Microsoft operates a shared responsibility model. Microsoft is responsible for the availability, security, and resilience of the platform itself, which includes data centre infrastructure, service uptime, and physical security. However, your organisation remains responsible for the data within your tenant, including protection against accidental deletion, ransomware, malicious insiders, and compliance with UK GDPR retention obligations. Native recycle bins and retention policies are useful for short-term recovery, but they are not a substitute for a true backup. At help4IT, we always recommend pairing Microsoft 365 with a dedicated third-party backup solution that provides point-in-time recovery, immutable storage, and long-term retention. This is especially important for regulated sectors such as legal, financial services, and healthcare.

Can Microsoft 365 help us achieve Cyber Essentials or improve our security posture?

Yes, and this is one of the strongest reasons UK businesses move to Microsoft 365 Business Premium or an Enterprise plan. The security tools included at these tiers, particularly Microsoft Defender, Intune, Entra ID conditional access, and Microsoft Purview, map very well onto the technical controls required for Cyber Essentials and Cyber Essentials Plus. At help4IT, we routinely use Microsoft Secure Score to benchmark a tenant, close configuration gaps, and prepare clients for certification. We also run cybersecurity risk assessments to identify issues such as unrestricted global admin accounts, legacy authentication protocols, and weak conditional access rules before they become incidents.
