A Small Business Guide to Migrating to Linux

For years, running Linux on office desktops was something other people did. It sat in the same category as building your own server rack: technically interesting, but not a serious option for a business with twelve staff and an accounts package to keep running.

That has started to change. Since Windows 10 reached end of support in October 2025, a good number of small businesses have found themselves holding hardware that works perfectly well but cannot take Windows 11, alongside a licensing bill that keeps climbing. Linux is free, mature, and already runs most of the world’s web infrastructure.

Our honest view is that Linux is an excellent fit for some organisations and a poor one for others, and the deciding factor is rarely the operating system itself. It is the software your people use every day.

Why the question is being asked now

Several pressures have arrived at roughly the same time:

  • Windows 11 hardware requirements. Machines without a TPM 2.0 chip or a supported processor cannot upgrade, even when they are only four or five years old.
  • The cost of standing still. Microsoft’s Extended Security Updates for Windows 10 start at around 61 US dollars per device for the first year and double in each subsequent year, running out entirely in late 2028.
  • Licence creep. Subscription costs for operating systems, office suites, and management tooling have risen steadily.
  • Public sector precedent. The German state of Schleswig-Holstein is moving roughly 30,000 workers to LibreOffice and Linux, and Denmark has announced similar plans. Larger organisations doing this successfully makes it easier for smaller ones to consider.

What migrating to Linux involves

Linux is not a single product. You choose a distribution, which bundles the Linux kernel with a desktop interface, an application store, and a support lifecycle. For business use, the shortlist is short:

  • Ubuntu LTS is the most common choice. Each long-term support release receives five years of standard security maintenance, extendable to ten years through an Ubuntu Pro subscription, currently around 25 US dollars per desktop per year.
  • Linux Mint is built on Ubuntu and presents a layout that Windows users generally recognise immediately. It is the gentlest landing for non-technical staff.
  • Red Hat Enterprise Linux or its free rebuilds suit businesses that already run Red Hat on the server side and want consistency.

We often suggest starting with Ubuntu LTS or Mint, because the support lifecycles are predictable and the community documentation is genuinely good.

Where Linux works well

Linux tends to succeed in small businesses where the daily workload looks like this:

  • Work happens primarily in a browser, using web applications such as Microsoft 365 online, Google Workspace, Xero, or a hosted CRM.
  • Staff use email, documents, spreadsheets, and video calls rather than specialist desktop software.
  • The team already includes technically confident people, such as software developers or designers who work with open-source applications rather than the Adobe suite. These staff adapt quickly and often end up supporting their colleagues informally.
  • There is ageing hardware worth another two or three years of service. Linux is markedly lighter on older machines than Windows 11.

For a business in this position, a migration can be smooth, and the savings are real.

Where it becomes difficult

The problems are almost always application-shaped. Common obstacles include:

  • Desktop accounting packages. Sage 50 and QuickBooks Desktop do not run natively on Linux. Compatibility layers such as Wine sometimes work, but we would not recommend running your statutory accounts on an unsupported configuration.
  • Industry-specific software. Practice management, CAD, estimating, and dispensing systems are frequently Windows-only, with vendors who will not support anything else.
  • The full Microsoft Office desktop suite. LibreOffice is capable and free, but complex Excel models with macros and add-ins rarely survive the trip intact.
  • Specialist hardware. Label printers, card readers, and older scanners may have no Linux drivers.
  • Staff confidence. This is a real cost, not a soft one. Budget for training and a period of reduced productivity.

The audit comes first

Before anyone downloads an installer, build a full inventory of every application in use, who uses it, and whether a supported Linux or browser-based equivalent exists. In our experience, this single exercise settles the question for most businesses within a week. It also frequently uncovers software the business is paying for and no longer using, which is a useful outcome regardless of the decision.

Where one or two applications block the move, there are usually workable answers: a small number of Windows machines retained for those roles, a hosted Windows desktop, or a virtual machine running on the Linux device.

Security, compliance, and management

A common misconception is that Linux cannot be managed or certified properly. That is no longer accurate.

  • Microsoft Intune supports Linux device management for Ubuntu LTS and Red Hat Enterprise Linux, including compliance policies, encryption checks, and Conditional Access.
  • Single sign-on with Microsoft Entra ID is available on supported distributions, so staff can keep one set of credentials.
  • Cyber Essentials is achievable on Linux. The certification requires supported, patched software and properly configured devices, and it does not mandate a particular vendor.

What Linux does require is discipline. Devices still need patching, disk encryption, endpoint protection, backup, and an inventory. Left unmanaged, a Linux estate becomes a liability in exactly the way an unmanaged Windows estate does.

A sensible migration path

Where a business decides to proceed, we generally recommend the following order:

  1. Complete the application audit and identify blockers.
  2. Choose a distribution and standardise on one version across the business.
  3. Pilot with two or three willing, technically confident staff for at least a month.
  4. Resolve printing, scanning, file shares, and VPN access during the pilot, as these cause the majority of day-to-day complaints.
  5. Confirm your backup and device management arrangements work on the new platform before wider rollout.
  6. Train staff properly, then migrate department by department rather than all at once.
  7. Keep a documented route back for anyone who hits a genuine blocker.

A phased migration over two or three months almost always costs less in disruption than a rushed one over a weekend.
